Regional Cricket Academy – Terms & Conditions
Effective: June 2025
We know life gets busy. Weekends fill up fast, kids get sick, and sometimes things just don’t go to plan. So, while we need a few ground rules to keep things fair and organised, we’ll always aim to work with you wherever we can.
1. Booking & Payment
• All sessions must be booked and paid for in advance to secure your spot.
• Payment can be made online or via bank transfer. You’ll receive confirmation once it's processed.
• We’ll always try to hold spots when we can, but they’re only guaranteed once payment is received.
2. Cancellations & Refunds
We understand that sometimes plans change. Here’s how we manage cancellations:
• More than 21 days out: 50% refund
• 21 days or less: Unfortunately, we can’t offer a refund at this late stage – but we’re happy to talk through options, like credit for a future session (where possible).
If you need to cancel, just email us at info@regionalcricketacademy.com.au. The sooner we know, the more we can help.
3. If RCA Needs to Cancel
If we need to cancel a session due to weather, low numbers, or anything unexpected, we’ll let you know as soon as possible. You’ll be given the option of a full refund or to roll your booking over to another session.
4. Bad Weather & Make-up Sessions
We build some flexibility into our program to allow for bad weather. Make-up sessions will be offered where possible. If that’s not an option, we’ll provide a credit or refund – we’ll always try to make it fair.
5. Rescheduling
• If you need to reschedule a coaching session this should be done directly with your individual coach.
6. Player Behaviour
We’re all about helping kids grow – not just as cricketers, but as teammates and respectful young people. We expect players to listen to coaches, treat others with respect, and have a positive attitude.
If behaviour becomes unsafe or disruptive, we’ll have a chat and work with you to sort it out. In serious cases, we may need to pause participation – but this is always a last resort.
7. Health & Safety
• Please let us know about any injuries or medical conditions before training starts.
• While we take care to run safe sessions, cricket is a physical sport and there’s always a level of risk involved. We are not liable for injuries unless they’re caused by negligence on our part.
8. Photos & Videos
We sometimes take photos or short videos during training for training and promotional use (social media, website etc.). If you’d prefer your child not be included, just let us know – no problem at all.
9. Your Privacy
We only collect the personal details we need to manage your booking and keep in touch with you. We don’t share information with third parties unless legally required.
10. We’re Here to Help
If something’s not working or you’re unsure about anything, please reach out. We’re a small team and committed to creating a positive experience for families in the regions. Communication is key, and we’ll always try to find a solution that works for everyone.

• Player information (date of birth, medical information relevant to training, emergency contacts)
• Payment details (processed securely through trusted third-party payment gateways — we don’t store card numbers)
• Any other info you choose to provide when communicating with us.
2. Why We Collect It
We collect this information to:
• Manage your bookings and provide coaching services
• Communicate with you about sessions, cancellations, or changes
• Keep players safe and healthy during training (medical info is important!)
• Process payments and issue invoices
• Send you occasional updates about programs, events or offers — you can opt out anytime.
3. How We Store & Protect It
Your information is stored securely and only accessible by authorised RCA staff. We take reasonable steps to protect it from misuse, loss, or unauthorised access.
Payment transactions are handled securely through trusted providers — we do not keep payment card details on file.
4. Who We Share It With
We never sell your personal information.
We may share relevant information with:
• Coaches and staff (to run safe, organised sessions)
• Service providers who help us operate (like payment processors or website hosts) — only as needed and under strict privacy agreements.
• Authorities, if legally required (for example, if we’re obliged to share information for safety or legal compliance).
5. Access & Updates
You can request to see or update your personal information at any time. If you think something is incorrect, please let us know and we’ll fix it quickly.
6. Photos & Social Media
We may take photos or short videos during sessions for promotional use (e.g. on our website, social media or flyers). If you prefer that you or your child are not included, just let us know in writing.
7. Your Consent
By enrolling in RCA programs, you consent to us collecting and using your information as described here.
8. Policy Updates
We may update this Privacy Policy occasionally to keep up with changes in the law or how we operate. Any updates will be posted on our website and take effect straight away.
